Terms of Service
Last updated: 14 October 2026
These Terms are an agreement between you and Frontbits LLC, a limited liability company registered in Sharjah Media City (Shams) Free Zone, Sharjah, United Arab Emirates ("we", "us"), about your use of Chatloom, our service for building AI chatbots for websites (the "Service"). "You" means the business that uses the Service, and the person accepting these Terms confirms they can do so on its behalf.
Our Data Processing Agreement forms part of these Terms. It applies whenever we process personal data on your behalf, such as your website visitors' chats.
1. Your account
- Chatloom is for business use only. By creating an account you confirm that you're using the Service for your trade, business or profession, and not as a consumer.
- Where Chatloom is offered: Chatloom isn't offered to businesses based in the European Union, the EEA, the United Kingdom or Switzerland. You confirm your business isn't based there, and you won't use the Service for websites aimed mainly at people there.
- You must be at least 18 and able to enter into a contract.
- Keep your password safe and tell us at [email protected] if you think your account has been misused. You're responsible for what happens under your account and for the people you invite to your workspace.
- Give us accurate information and keep it up to date.
2. Your content and your customers' data
- You own your content: the information you add (website pages, files, documents you import, Q&A, settings) and the conversations your chatbots have with your visitors. As between us, you also own the replies your chatbot writes for your visitors.
- You give us permission to store, copy and process that content only as needed to run the Service for you, including sending it to the AI provider that writes your chatbot's replies.
- You are responsible for having the right to use the content you add, for telling your website visitors how their data is used (Chatloom gives you a privacy notice for the chat and wording for your privacy policy), and for having a lawful basis for collecting their data.
- We don't sell your data or your visitors' data, don't use it for advertising, and don't use it to train AI models.
3. AI-generated answers
- Your chatbot's replies are written by an AI model from the information you provide. They can be incomplete or wrong. Review your chatbot's answers, keep your information up to date, and don't use the Service for advice where a mistake could cause serious harm (such as medical, legal or financial advice) without a person checking it.
- The chat tells visitors they're talking to an AI assistant. You must not hide that, or suggest to visitors that they're talking to a person when they're talking to the AI.
4. Acceptable use
You must not use the Service to:
- break any law, or infringe anyone's rights (including privacy and intellectual property);
- send spam, mislead people about who or what they're talking to, or impersonate others;
- collect sensitive personal data (such as health data, payment card numbers or government ID numbers) through the chat;
- harass, threaten or harm anyone, or distribute malware;
- import content from websites or documents you don't have the right to use;
- interfere with the Service, test its security without our written permission, copy or resell it, or get around plan limits.
We may suspend a chatbot or account that breaks these rules. Where we reasonably can, we'll tell you first.
5. Connected apps
You can connect other services, such as Slack, Notion, Google Drive, HubSpot, Cal.com or Calendly. When you do, you authorise us to access them as described on the connection page (for example, read-only access to the Notion pages or Google Drive files you choose). Your use of those services is governed by their own terms. You can disconnect them at any time.
If you set up automations (webhooks, emails, Slack messages, Google Sheets rows or HubSpot contacts), we send the details you choose to the destinations you choose, when the events you choose happen. Those destinations are yours: you're responsible for them and for having the right to send the data there.
API keys (Pro plan) let your own software read your workspace's leads and chats and send messages to your chatbots. Keep keys secret: anything done with a key counts as done by your workspace, so revoke a key straight away if you think it has leaked. Messages sent through the API use message credits like website chats. We may limit how often keys are used to keep the Service reliable.
6. Plans, payment and credits
- Paid plans renew automatically every month or every year, depending on the billing period you choose, and are charged in advance to your saved payment method through our payment provider, Stripe, until you cancel. Prices are shown on our pricing page and may exclude taxes, which you're responsible for.
- Each plan includes a monthly allowance of message credits, which resets each month, on yearly plans too (on your billing date for paid plans, and on the first day of each month (UTC) on the Free plan) and doesn't roll over. When credits run out, your chatbots pause until the next reset unless you upgrade.
- We'll give you at least 30 days' notice of a price increase. It applies from your next billing period after the notice.
- Payments aren't refundable, including for partly used months or years, except where the law requires otherwise.
- If a payment fails and isn't fixed after our payment provider's retries, your workspace moves to the Free plan and its limits.
7. Cancelling and ending the agreement
- You can cancel your plan at any time in Billing; it stays active until the end of the period you've paid for. You can delete your workspace or account at any time.
- We may suspend or end your access if you seriously or repeatedly break these Terms, don't pay, if it's needed to protect the Service or other customers, or if the law requires it. Where we reasonably can, we'll tell you first and give you a chance to fix the problem.
- After your account or workspace is deleted, we delete its data from our systems within 30 days, and from backups as they expire (within four weeks after that). Download anything you want to keep first.
- Sections that by their nature should continue (such as 8, 9 and 11 to 17) continue after the agreement ends.
8. Our rights in the Service
- We (and our licensors) own the Service, its software, design and the Chatloom name and logo. While you have an account, you have a non-exclusive, non-transferable right to use the Service for your business under these Terms. We keep all other rights.
- If you send us suggestions or feedback, we may use them freely, without any obligation to you.
9. Confidentiality
Each of us will keep the other's non-public business information (such as pricing, plans, security details and non-public content) confidential, use it only for this agreement, and protect it with reasonable care. This doesn't apply to information that is or becomes public through no fault of the receiving party, that it already had or develops independently, or that it must disclose by law (after notifying the other party where allowed). Personal data is covered by the Data Processing Agreement.
10. Changes to the Service
We're improving the Service all the time and may add, change or remove features. If we remove a major feature you pay for, we'll tell you in advance. We aim to keep the Service available, but we don't guarantee it will always be available or error-free.
11. Disclaimers
The Service is provided "as is". To the extent the law allows, we disclaim all warranties not stated in these Terms, including that the Service will meet your needs or that AI answers will be accurate.
12. Liability
- Nothing in these Terms limits liability that can't be limited by law.
- To the extent the law allows, neither party is liable for indirect or consequential losses, or for lost profits, revenue or data.
- To the extent the law allows, our total liability arising from these Terms in any 12 months is limited to the greater of the amount you paid us for the Service in those 12 months or USD 100.
13. Indemnity
You'll cover our reasonable costs and losses if a third party makes a claim against us because of content you added, or because you used the Service in breach of these Terms or the law. We'll tell you promptly about the claim, let you control its defence with counsel reasonably acceptable to us, and give reasonable help at your cost. You won't settle a claim in a way that admits fault for us or obliges us to do anything without our consent.
14. Events outside our control
Neither of us is responsible for a delay or failure caused by events beyond our reasonable control, such as outages of internet, hosting or AI providers, attacks, natural disasters or acts of government. This doesn't excuse paying for the Service.
15. Changes to these Terms
We may update these Terms. We'll tell you about important changes by email or in the dashboard at least 14 days before they take effect. If you keep using the Service after that, the new Terms apply. If you don't agree, you can cancel before they take effect.
16. Law and disputes
These Terms are governed by the laws of the United Arab Emirates as applied in the Emirate of Sharjah. The courts of Sharjah have exclusive jurisdiction, except where a law that can't be excluded gives you the right to bring a claim elsewhere. Before going to court, we'll each first try in good faith to settle a dispute by talking it through.
17. General
- Assignment: you may not transfer this agreement without our written consent. We may transfer it as part of a merger, acquisition or sale of all or part of our business, and we'll tell you if we do.
- Entire agreement: these Terms, the Data Processing Agreement and the policies they refer to are the whole agreement between us about the Service.
- Severability and waiver: if part of these Terms can't be enforced, the rest still applies. Not enforcing a right straight away doesn't mean giving it up.
- Notices: we'll send notices to the email address of your account's owner or in the dashboard; you send notices to [email protected].
- No partnership: we're independent businesses; these Terms don't create a partnership, agency or employment relationship.
