Every software company will tell you its product is worth it. This article tries to give you a straight answer instead: when an AI chatbot is a good idea for a small business, when it isn't, and how to find out for your own business without risking much.

The short answer

An AI chatbot is usually worth it if customers ask you the same questions again and again and you can't always reply quickly, especially in the evenings, at weekends or while you're busy with other customers. It's usually not worth it if you only get a handful of questions a week, or if almost every conversation needs a person's judgement.

What an AI chatbot actually does (and what it shouldn't)

A modern AI chatbot learns from your own content (your website, documents and notes) and uses it to answer customer questions in plain language. A good one:

  • Answers day and night, instantly, in the customer's own language.
  • Captures leads, by asking interested visitors for their name and email.
  • Books calls or appointments right in the chat.
  • Hands over to a person when a customer asks for one, or when the question needs a human.

What it shouldn't do is guess. When the answer isn't in your content, a good chatbot says so and offers to connect the customer with you, instead of making something up. That's the single most important thing to check before you choose one.

When it pays off

An AI chatbot tends to be worth it when two or more of these sound familiar:

  1. You answer the same questions all day. Opening hours, prices, delivery, availability. These are exactly what a chatbot handles well.
  2. Messages arrive after you close. People shop and research in the evening. If nobody answers until the next morning, some of them will have gone elsewhere.
  3. Slow replies are costing you sales. If a customer has to wait hours for a simple answer, they often buy from whoever answered first.
  4. Your customers speak more than one language. An AI chatbot can answer in the customer's language, even if your website is in one.

When it's not worth it

Being honest about this saves you time and money:

  • You only get a few questions a week. You can probably answer them yourself, and that personal touch is worth keeping.
  • Every conversation needs a person. If each enquiry means a custom quote, a sensitive judgement call or a long consultation, a chatbot can only collect details and pass them on. That can still help, but don't expect it to do the work.
  • Your information isn't written down anywhere. A chatbot is only as good as what you give it. If your prices and policies live only in your head, write them down first (that's useful anyway).
  • Your information changes every day and nobody will keep it up to date.

What it really costs

There are two costs: the tool, and your time.

The tool. Most AI chatbots charge a monthly fee. ConvoAsk is $19 a month (Starter) or $49 a month (Pro). Other tools charge per team member or per conversation, which can cost much more as you get busier. Our guide to what an AI chatbot costs compares the pricing models in detail.

Your time. Setting it up means adding your website and checking the answers it gives, then a few minutes a week reading through conversations and fixing anything that wasn't right.

A simple test: does it pay for itself?

You don't need a spreadsheet. Ask yourself one question:

If the chatbot brought you one extra customer a month, would that cover the monthly price?

If what you earn from a typical customer is more than the plan price, one extra customer a month covers it. Add the hours you'd save not typing the same answers, and you have a clear picture. If the answer is no, for example because your products are very low-priced and you rarely get questions, a chatbot probably isn't worth it for you right now.

How to find out without risk

The most reliable way to know is to try one on your own website:

  1. Start a free trial. ConvoAsk has a 7-day trial with every feature and no card needed.
  2. Add your website, then check the profile it writes about your business and fix anything that's wrong.
  3. Ask it the questions your customers ask. Use real ones from your inbox, including the awkward ones.
  4. Turn on handover, so customers can reach a person when they need one.
  5. Look at the results after a few days. Read the conversations, and look at which questions it couldn't answer. That tells you what to add, and whether it's helping.

The bottom line

If customers keep asking you the same things and you can't always reply fast, an AI chatbot is very likely worth it. If you're not sure, a short free trial on your own website will tell you more than any article. If you want to see how setup works first, our step-by-step guide walks you through it.

Questions

Will an AI chatbot replace my customer service team?

No, and it shouldn't. It takes the repetitive questions off your team's plate and answers out of hours, then hands over to a person when a customer needs one. Your team spends their time on the conversations that need them.

Will customers be annoyed by talking to a bot?

Customers mostly want a quick, correct answer. A chatbot that answers clearly, admits when it doesn't know, and lets them reach a person easily is usually welcome. One that guesses or traps people in loops is not, so test that before you choose.

How long does it take to see if it's working?

A few days of real visitors is usually enough to see what people ask and how well it answers. Read the conversations and the unanswered questions, fix what's missing, and check again a week later.

What if it gives a wrong answer?

Choose a chatbot that only answers from your own content and shows its sources. When you spot a wrong or incomplete answer, correct it once (ConvoAsk has an "Improve answer" button for this) and it uses the right answer from then on.
